How to Send a Vehicle RFQ to Japan That Gets a Useful Answer

A vague request such as 'Toyota wanted' usually creates a vague answer. A strong RFQ lets a Japan-side buyer check the right route quickly and prevents wasted time on vehicles that can never meet your customer's requirement.

1. Exact model and grade

Include the exact model, grade, drivetrain, engine, transmission, body type and any mandatory options when they matter. For customer orders, specify what is non-negotiable and what is flexible.

2. Quantity

One customer-order vehicle and a recurring stock requirement are different commercial jobs. State the quantity you need now and whether repeat demand is likely.

3. Target buying price and currency

Tell us whether the target is the Japan vehicle price, total Japan-side payable amount, FOB, or another basis. A number without its price basis can create a false comparison.

4. Destination country or port

Destination affects export eligibility, documentation, age rules, standards and cost assumptions. Even when you arrange shipping yourself, the destination still matters to route verification.

5. Required timing

ASAP, this month and a specific delivery deadline are different. Timing helps determine whether current stock, dealer sourcing, auction sourcing or another route is appropriate.

6. Used-vehicle condition requirements

For used or premium vehicles, include registration year, maximum mileage, allowed colors, repair-history rules, auction grade, interior grade and any condition points that are mandatory.

Example of a useful RFQ

Mercedes-Benz GLE 350d Coupe, 2019 or 2020 only, one unit, under 40,000 km, auction grade 4.5, interior A, no black or blue, target JPY 4.2M Japan-side vehicle price, shipping arranged by buyer, required as soon as possible.
